Privacy Policy

Last updated: March 16, 2026

We are committed to protecting your personal information when you use our property management system. This policy describes what we collect, how we use it, and your rights in relation to your data.

1. Information We Collect

We collect information you provide when using our property management system, including:

  • Account and identity — Name, email address, phone number, and login credentials.
  • Property and tenancy — Property details, lease dates, occupancy information, maintenance requests, inspection notes, correspondence between landlords and tenants, and other data related to tenancies.
  • Financial — Rent amounts, deposits, fees, payment history, payment method tokens (we do not store full card numbers where applicable), and payout details for landlords, as necessary for invoicing and accounting.
  • Usage — Log-in times, actions within the platform (including dashboard usage and search or filter behaviour on listings), support tickets, and technical data such as IP address and browser type, where relevant for security and support.

2. How We Use Your Information

We use this information to:

  • Provide and operate the property management service (agreements, invoices, payments, maintenance requests).
  • Facilitate property viewings and maintenance requests, and send rent reminders and statements.
  • Generate reports for landlords and property managers.
  • Communicate with you about your account, tenancies, and important updates.
  • Comply with legal and regulatory obligations.
  • Improve our platform, security, and support (e.g. analysing usage in an aggregated way).

3. Legal Basis and Retention

We process your data where necessary to perform our contract with you, to comply with law, or where we have a legitimate interest (e.g. security, improving our service). We retain your information for as long as your account is active and as required for legal, tax, or dispute-resolution purposes. Retention may also follow tenancy and legal requirements (e.g. for a period after a tenancy ends).

4. Sharing and Disclosure

We do not sell your personal information. We may share it with: landlords, tenants, or property managers as needed to provide the service (e.g. tenant contact details to the relevant landlord, landlord or property manager details to the tenant); service providers who assist us (e.g. hosting, payment processing) under strict confidentiality; maintenance or other contractors only where necessary to fulfil the service; and authorities when required by law. Other sharing occurs only with your consent or as set out in your tenancy or management agreement.

5. Security

We use appropriate technical and organisational measures to protect your data against unauthorized access, loss, or misuse. Access to personal data is limited to those who need it to perform their duties.

6. Your Rights

Depending on where you live, you may have the right to: access your personal data; correct inaccuracies; request deletion; restrict or object to certain processing; and, where applicable, data portability or withdrawal of consent. To exercise these rights, contact us using the details on our Contact page. You may also have the right to lodge a complaint with a supervisory authority.
